Hybrid Work Policy**

1. Purpose

The United States Angel Coalition (USAC) supports a hybrid work model that balances flexibility with the operational needs of a trauma‑informed, survivor‑serving organization. This policy establishes expectations for employees who work remotely, onsite, or in a blended schedule to ensure continuity, accountability, and high‑quality service delivery.

2. Scope

This policy applies to all USAC employees, contractors, and volunteers who perform administrative, programmatic, or support functions. Staff working in direct‑care or residential safe‑house roles may have additional requirements due to safety and confidentiality needs.

3. Eligibility for Hybrid Work

Hybrid work eligibility is based on:

  • Job function (administrative, outreach, case management, development, operations)

  • Performance history

  • Confidentiality and data‑security requirements

  • Program needs and client safety considerations

Roles that may be hybrid:

  • Administrative staff

  • Grant writing & development

  • Communications & outreach

  • Case managers (non‑crisis hours)

  • Program coordinators

Roles that must be primarily onsite:

  • Safe‑house staff

  • Crisis response personnel

  • Direct‑care advocates

4. Work Schedule Expectations
4.1 Standard Hybrid Schedule

Unless otherwise approved:

  • 2–3 days onsite per week

  • 2–3 days remote per week

Supervisors may adjust schedules based on:

  • Program demands

  • Client appointments

  • Community events

  • Emergency response needs

4.2 Core Hours
To maintain team coordination:
  • Core availability: 9 AM – 3 PM CST

  • Remaining hours may be flexible with supervisor approval.

5. Communication Requirements

Hybrid staff must:

  • Be reachable via phone, email, or Teams during scheduled hours

  • Respond to internal messages within 2 hours during the workday

  • Attend all mandatory virtual or in‑person meetings

  • Maintain a professional environment during video calls

6. Data Security & Confidentiality

Because USAC handles sensitive survivor information, hybrid workers must follow strict security protocols:

  • Use only USAC‑approved devices for work

  • No printing survivor information at home

  • No storing files on personal devices

  • Use VPN or secure cloud systems for all documents

  • Ensure private, confidential workspace during calls

  • Lock screens when away from devices

Any breach must be reported immediately.

7. Performance & Accountability

Hybrid work is a privilege, not an entitlement. Staff must:

  • Meet deadlines

  • Maintain accurate timekeeping

  • Submit weekly progress updates

  • Uphold productivity standards equal to onsite work

Supervisors may revoke hybrid privileges if:

  • Performance declines

  • Communication lapses

  • Confidentiality concerns arise

  • Program needs change

8. Equipment & Technology

USAC may provide:

  • Laptop

  • Secure email access

  • VPN credentials

  • Case management software access

Employees are responsible for:

  • Reliable internet

  • Safe, private workspace

  • Proper care of USAC equipment

9. Travel & In‑Person Requirements

Hybrid staff may still be required to:

  • Attend in‑person trainings

  • Participate in outreach events

  • Support emergency response

  • Meet with partners or donors

Advance notice will be provided whenever possible.

10. Trauma‑Informed Considerations

Because USAC serves survivors of trafficking and exploitation, hybrid work must never compromise:

  • Client safety

  • Confidentiality

  • Crisis response capacity

  • Survivor access to advocates

If hybrid work interferes with service delivery, onsite work may be required.

11. Policy Review

This policy will be reviewed annually to ensure alignment with:

  • Federal and state labor laws

  • Nonprofit best practices

  • USAC’s mission and operational needs
